AvantGarde, LLC Administrative Assistant in Washington, District Of Columbia

Do you love AA work? Would you find it fascinating to support the Administrative Office of the police department that safeguards the Congress, its employees, visitors, buildings and grounds from crime and terrorism? Well, then, we have the job for you!

You would work on site at the United States Capitol Police (USCP) in SW Washington, DC performing administrative functions for the Office of the Chief Administrative Officer (OCAO) in consultation with your supervisor and senior officials, exercising a high level of caution and discretion with sensitive, confidential matters to keep OCAO operations running smoothly. Here's what you would be doing day to day ---

The WORK

  • Control physical entry to the OCAO suite, fielding a variety of calls and visitors, responding to their questions, and helping to resolve their issues.

  • Handle OCAO correspondence, coordinating responses and actions with the Executive Officer.

  • Maintain a tracking system of correspondence and requests for information/approval to ensure that all deadlines are met and all actions are completed.

  • Schedule in-person and virtual meetings for the OCAO, prioritizing the most sensitive matters and coordinating with the schedules of attendees.

  • Schedule use of the OCAO conference room, training room, and Department vehicle.

  • Coordinate supplies and physical space needs for the OCAO.

  • Maintain the file room and other records management processes within the OCAO.

  • Interact with internal/external high-level officials calling and visiting the OCAO, exercising extreme professionalism, tact, and confidentiality.

The REQUIREMENTS

  • High school diploma and 2 years of experience supporting the administrative needs of a front office with senior staff.

  • Excellent internal/external customer service and strong interpersonal skills.

  • Professional demeanor and the ability to communicate and interact/relate to a diverse group of people including Executive Management, Senior and Mid-level managers, employees, and outside resources.

  • Strong organizational, assignment prioritization, and time management skills, with the ability to multi-task and meet deadlines.

  • Strong problem-solving and decision-making skills.

  • Must be highly proactive, be self-directed, and have attention to detail.

  • Must be able to take initiative in order to meet the various needs of the OCAO.

  • Must be willing to accept assignments from all OCAO staff, including the CAO, Deputy CAO, Assistant Deputy CAO, and Executive Officer.

  • Must be highly proficient with the use of Microsoft Office Suite and have the ability to use widely supported Internet browsers.
